AI Email Drafting Disclosure

What this feature does

This application includes an optional feature that uses an artificial intelligence (“AI”) service to help financial advisors draft follow-up emails more efficiently. The AI suggests language based on high-level context that you provide (for example: “Prospect attended a retirement webinar and asked for a follow-up conversation.”).

What data is sent to the AI service

The AI email generator is designed to avoid sending client personally identifiable information (“PII”) to the AI provider. When you use this feature, the application sends only:

  • A generic description of the situation (for example: “Warm follow-up after first discovery call about retirement planning.”).
  • Your instructions for tone and goals (for example: “Keep it warm and professional, invite them to schedule a call.”).

The AI is instructed to use placeholders such as [Client] instead of actual names.

What data is not sent

The feature is intended not to send any of the following information to the AI provider:

  • Client names or contact details.
  • Account numbers or balances.
  • Social Security numbers, tax IDs, or other government IDs.
  • Detailed personal, health, or employment history.
  • Any internal firm identifiers or other sensitive data that is not needed to draft generic email language.

On your screen, the application replaces placeholders like [Client] with the actual client name locally, after the AI has returned its draft. This mapping happens only in your browser and is not shared with the AI provider.

Your responsibilities as the advisor

The AI-generated content is a starting point only. You remain fully responsible for:

  • Reviewing every draft before sending it to a client.
  • Ensuring that the content complies with your firm’s policies, your regulator’s rules, and any supervisory requirements.
  • Verifying that the message is accurate, appropriate, and consistent with the client’s situation and your recommendations.

AI output may be incomplete, generic, or occasionally incorrect. It should never be treated as legal, tax, or investment advice on its own.

Limitations and important notes

  • The AI model does not have access to your client accounts, internal systems, or documents.
  • The AI suggestions are based on patterns in text and may not reflect your firm’s specific compliance standards or preferred language.
  • This tool is intended to improve your productivity, not to replace your professional judgment or compliance review process.
  • Your firm may require pre-approval, archiving, or other review of client communications, including those drafted with AI assistance.
